Event staff Dubai

Event staffing for Dubai events

The Crew Lab staffs exhibitions, conferences, launches, concerts and private events in Dubai.

We supply the people guests meet first and the operational crew working behind the scenes. Our office is at Zayed Sports City in Abu Dhabi, and Dubai is one of our two main areas of work. Crew come from our network of 1,000+ freelancers.

What Dubai event crew cover

Front-of-house ushers and guest assistants

Ushers take guests from the drop-off point to their seat or session. In large Dubai venues, where halls are long and entrances are many, they stand at the points where people hesitate and point them the right way. During sessions they manage doors and help clear rooms between programme slots.

Hostesses and registration teams for check-in and welcome desks

Hostesses run registration desks and information points. They are often the first conversation a guest has at your event, so we match them to the brief on language and manner. They can also staff exhibition stands and collect visitor details. Our notes on hostesses for Dubai galas and launches cover the smaller, hotel-based end of the market.

Setup, transport, access, VIP and backstage support

Behind the guest-facing team, setup crew prepare rooms and halls and break them down afterwards. Transport coordinators and drivers keep guest and crew movements on schedule between hotels and the venue. Access-control crew check credentials at entrances and controlled zones, and security guards can be added where the event calls for them. VIP and backstage crew look after speakers and artists.

Our own team from enquiry to event day

You deal with our own operations team from first enquiry to final handover. We use our own crew, book every freelancer directly and do not subcontract. Questions about the brief and changes on the day go through the same people.

How booking works

Enquiry

Contact us by email or phone with the date and a rough idea of the roles.

Brief

We work through the details with you: date, venue, headcount, roles and dress code, plus call times, staff entrances, accreditation and parking. Dubai venues often have their own contractor registration and access rules, so we ask about those early.

Crew matching

We choose crew from our freelancer network for each position, looking at the skills the role needs and how the person will come across to your guests.

Briefing on the day

Crew arrive before doors open for a briefing on the running order, floor plan, contacts and key messages. Your team can join and add anything specific.

On-site supervision

A Crew Lab team leader stays with the crew through the event. They handle breaks and move people to where the pressure is.

Staffing ratios as a starting point

Treat these as a starting point, not a rule:

For conferences, our Dubai conference staff checklist runs through the roles session by session.

  • Staff every point where a guest has to choose a direction. In large venues there are more of these than the floor plan suggests.
  • Plan registration around the arrival peak rather than the average flow. Morning openings at conferences tend to bring guests in waves.
  • Add relief cover for long days so desks and doors stay staffed during breaks.
  • Group larger crews into small teams, each with a team leader.

Dubai venues and areas

Dubai events run across a wide spread of venues, and each type shapes the crew plan differently. The notes below are general planning points. Our guide to event crew for DWTC and Expo City goes into more detail.

Dubai World Trade Centre (DWTC)

DWTC hosts many of the city's exhibitions and conferences. With several halls and entrances, registration and wayfinding usually take the largest share of crew. Contractor access and staff entry points are worth confirming early.

Expo City Dubai

Expo City Dubai is a large site with indoor halls and outdoor spaces. Walking distances are longer than in a single hall, so guest flow depends on clear signage and crew placed along the routes.

Downtown Dubai and DIFC hotels

Hotels and ballrooms around Downtown Dubai and DIFC host corporate dinners and launches. Loading windows tend to be tight and service corridors are often shared, so setup and guest-facing crew need precise call times.

We brief crew on the venue in front of them: where staff enter and how guests reach the event space. For events that also run in the capital, see event staffing in Abu Dhabi.

Frequently asked questions

Yes. We staff events anywhere in Dubai, and across the rest of the UAE. Tell us the venue in the brief and we will plan staff entry and access around it.
