Hostesses and registration

Event hostesses and registration teams in the UAE

Our hostesses and registration teams run your welcome desks and check-in, and keep queues moving.

Hands laying out guest name badges on an event registration desk

The Crew Lab supplies hostesses and registration staff from our network of 1,000+ freelancers. Abu Dhabi and Dubai are our main focus, and we cover all seven emirates. If you are hiring for the first time, our guide to hiring hostesses in the UAE explains the roles in more detail.

What hostesses and registration teams do

Welcome desks, check-in, badge support and directions

Registration staff check guests against the list and print or hand out badges. They also deal with the awkward cases, such as a misspelt name or a walk-in who wants to buy a pass. The first minutes at the door set the tone for the event, which is why we wrote about the first moments of event arrivals.

Guest greeting and queue-flow assistance

Hostesses greet guests as they arrive and keep queues moving. They spot people in the wrong line, open a second lane when the queue builds and send guests on with clear directions to the hall or the first session.

Information points and stand support

During the event, hostesses staff information desks and answer questions about the programme and the venue. At exhibitions they can work on your stand, greeting visitors and collecting contact details for your sales team. Our exhibition booth staff checklist covers what to brief them on, and our exhibition staff page lists the other stand roles.

Hosts for launches and dinners

At smaller events, a single hostess may cover the welcome and then guide guests to their table. Tell us which tasks you want each person to cover, and we will plan the team around it rather than adding a separate person for every job.

Dress code and uniforms

Tell us your dress code or send branded uniforms, and we will confirm what each hostess wears, from shoes and grooming to name badges. We match hostesses to your brief on language and manner as well as appearance.

Planning registration numbers

As a first draft for registration, before we see your guest list:

Once we have your brief, we turn this into a proposed team for your sign-off.

  • Size registration for the arrival peak rather than the whole day. Most guests arrive in a short window before the first session or the doors opening.
  • Plan a staffed position for each check-in lane, and add a floating host who can deal with problem cases without holding up the queue.
  • Keep VIP registration separate if senior guests are expected, with its own host.
  • After the peak, registration staff can move to information points or session doors.

From enquiry to doors open

Start by emailing or calling with your date and a rough idea of how many guests you expect. We then ask about the registration process in detail: the system, the guest list, badge types and VIP handling. We also ask about the dress code and the languages your guests speak.

From there we choose hostesses and registration staff from our freelancer network to suit the role and your audience. On the day, the team runs through the registration process before doors open, along with the floor plan, the programme and how to escalate a problem. If your system needs a test run, we build that into the briefing.

During the event, a Crew Lab team leader manages the desk team and adjusts lanes as the queue changes.

Planning for Abu Dhabi and Dubai venues

In Abu Dhabi, large exhibition halls such as ADNEC need wide registration areas with several lanes. In Dubai, hotel launches and dinners usually need a smaller welcome team; our notes on hostesses for Dubai galas and launches cover that end. For city-level planning, see our Abu Dhabi and Dubai pages. We cover Sharjah and the northern emirates too.

Frequently asked questions

Yes. Tell us which system you use in the brief, and we will plan time in the briefing for the team to learn it. A test run before doors open helps.
