This is a buyer’s checklist. To see how we answer these questions ourselves, see our event staffing services in Dubai.
Dubai has no shortage of event staffing agencies. Search for one and you'll find dozens of websites promising the best hostesses, the friendliest ushers and the fastest turnaround. The differences only show up on the day: when a hostess doesn't know the guest list, when a crew arrives without a lead, or when nobody answers the phone at 7am.
Choosing the right event staffing agency in Dubai is less about glossy photos and more about how the agency plans, briefs and supervises. These ten questions will help you compare agencies on what actually matters.
Questions to ask a crew supplier about the team
1. What roles do you actually supply?
Some agencies specialise in hostesses and promoters. Others cover the whole event: event ushers, hostesses and registration teams, setup crew, transport coordinators, security and VIP support. If your event needs several roles, one agency that covers them all means one brief, one point of contact and one team culture. Ask to see the full list, and check each role is something the agency does regularly rather than occasionally.
2. How do you match people to my event?
A tech exhibition at DWTC needs exhibition staff who can qualify visitors; a black-tie gala on Palm Jumeirah needs polished hosts. Good agencies ask about your audience, dress code, language needs and the tone you want, then build the team around that. Be wary of an agency that sends a headcount without asking a single question about your guests.
3. How big is your network?
Depth matters in Dubai's busy months, when several large events can fall in the same week. The Crew Lab draws on more than 1,000 freelancers, which gives us room to match people to the role rather than filling gaps with whoever is free.
Questions about planning
4. Will you help me shape the headcount?
You may know you need "some hostesses". A good agency will ask about arrival windows, entrances, session changeovers and VIP movements, then recommend a team shape. Our guide to how many ushers per guest shows the kind of thinking involved.
5. How do you brief staff?
Ask what the briefing looks like. You want a written pre-brief sent in advance and a live briefing on site before doors open. If the answer is "they'll figure it out", keep looking. Our article on how to brief event staff sets out what a strong briefing covers.
6. Who supervises the team on the day?
Every team should have a named lead who knows the brief, manages breaks and redeploys people when plans change. That person should be your single point of contact, so your own team isn't managing staff on top of running the event.
Questions about reliability
7. What happens if someone drops out?
Late cancellations happen in every industry. Ask how a supplier covers them, and how quickly. An agency with a deep network and a clear back-up process can usually replace someone without you noticing.
8. Can you handle last-minute changes?
Guest numbers rise, a second entrance opens, a VIP arrives early. Find out whether the agency can add people at short notice and how it communicates changes to the team on site.
9. Do you work outside Dubai?
Many events span more than one emirate: a conference in Dubai with a gala in Abu Dhabi, or an exhibitor showing at both DWTC and ADNEC. A supplier that also covers Abu Dhabi and the wider UAE saves you from managing two suppliers. You can see where we work on our coverage map.
10. How do quotes work?
Ask what information the agency needs and how it builds a quote. A good agency asks about dates, venue, roles, hours of operation and guest numbers, and tailors the quote to your brief instead of sending a generic list.
