UAE event staffing

Professional event staffing across the UAE

The Crew Lab supplies event staff for arrivals, registration, setup, transport, access and backstage across the Emirates. We help planners build the right crew for the venue and the audience.

Al Wasl Plaza dome at Expo City Dubai, a major UAE event venue

We run operations from our office at Zayed Sports City in Abu Dhabi and draw on a network of 1,000+ freelancers. Abu Dhabi and Dubai are our main focus, and we staff events in all seven emirates, Al Ain included.

What your event crew can cover

Most events need people guests meet and people guests never notice. We plan both as one crew, so the front of house and the back of house work from the same brief.

Ushers, guest assistants, hostesses and registration teams

Ushers and guest assistants handle arrivals and seating. They stand at decision points, such as a lobby or the foot of an escalator, and keep people moving towards the right room. Hostesses and registration teams run the welcome desks: checking names, handing out badges, answering programme questions and sending guests on with clear directions.

Setup, dismantling, production and venue support crew

Setup crew prepare the space before doors open. They move furniture, lay out registration areas, place signage and support the production team with the physical work. After the last guest leaves, the same crew can stay on to clear the floor and pack down to the venue's handover schedule.

Transport coordinators, drivers, access-control and VIP teams

Transport coordinators and drivers manage guest and crew movements between hotels and venues. Access-control crew check credentials at entrances and controlled zones. VIP and backstage crew look after artists and speakers from arrival through to the stage. Where your event needs them, we can include security guards in the same plan.

How booking works

Enquiry

Send us the date and venue by email, phone or WhatsApp, with a rough idea of what you need. That is enough to start.

The brief

We then build out the detail with you. Share the date, venue, headcount, roles and dress code so the crew matches the operation. We also ask about call times, entry points, accreditation, meal breaks and who on your side makes decisions on the day.

Crew matching

We select people from our freelancer network for each role. Language skills, presentation, physical work and previous experience in similar roles all count when we match crew to positions.

Briefing on the day

Before doors open, the crew are briefed on the running order, the floor plan, key contacts and what to say to guests. Your team is welcome to join and add anything specific to your event. Our guide on how to brief event staff covers what a good briefing includes.

On-site supervision

A Crew Lab team leader stays on site at every booking to manage breaks and move people where they are needed. They are also your single point of contact for the crew. If the plan changes during the event, you tell the team leader and the crew adjusts.

Staffing ratios as a starting point

There is no fixed formula. The right numbers depend on the venue layout, how guests arrive, how long the event runs and how much hands-on service you want. As rough guidance only:

We will suggest numbers based on your brief and talk you through the reasoning. You decide the final crew. For more detail, read how many ushers you need per guest and how to plan the right event crew.

  • Plan for a staffed position at every point where a guest has to make a decision, such as a lift lobby or a hall entrance.
  • Registration needs more people at the opening peak than later in the day. A wave of arrivals is a different job from a steady flow.
  • Long days need relief cover, so crew can take breaks without leaving a desk or door empty.
  • Larger crews work better split into small groups, each with a team leader.

Planning for Abu Dhabi and Dubai venues

Dubai

Dubai venues often have their own contractor registration and access rules, so we ask about them early. See event staffing in Dubai for venue-by-venue planning notes.

The rest of the UAE

We cover Sharjah and the northern emirates too, with crew travel planned as part of the brief.

Frequently asked questions
