Privacy Policy

Last updated:

This policy explains what personal data The Crew Lab ("we", "us") collects through our website thecrewlab.ae, our crew portal and our crew app. It covers why we collect the data, who helps us process it, how long we keep it, and how you can ask us about it.

Who we are: The Crew Lab, Zayed Sports City offices, Abu Dhabi, United Arab Emirates.

1. If you visit our website

Analytics. If you accept analytics cookies, we use Google Analytics 4 to understand how visitors use our public pages, for example which pages are read and how people arrive. We ask on your first visit. Until you accept, Google Analytics is not loaded and nothing is sent to Google Analytics. If you accept, Google Analytics sets cookies in your browser (see section 7). We have switched off Google signals and ad personalisation. We also remove personal details from page addresses before they are sent to Google. Google Analytics does not run on our private pages (sign-in, the crew portal, staff tools, private share links, invites and unsubscribe pages), and it does not run in the crew app.

Hosting. Our website is hosted by Replit on Google Cloud. As with any website, our hosting receives technical information when you load a page, such as your IP address and browser details. It also sets a technical cookie that keeps your requests on the same server (see section 7).

Contacting us. Our website does not have an enquiry form. If you email us at info@thecrewlab.ae, call us, or message us on WhatsApp, we receive what you send us, for example your name, contact details and event details. We use it to reply and to prepare a quote. WhatsApp is run by Meta under its own privacy policy.

2. If you apply to join our crew

When you apply at thecrewlab.ae/join-crew we collect:

  • your first and last name, email address, mobile number and city of residence;
  • your date of birth (crew must be 18 or over, and 21 or over for roles that serve alcohol);
  • the roles you want to work, your years of experience, the languages you speak, your general availability and your UAE work eligibility (visa type);
  • anything you choose to write in "Tell us about yourself";
  • your profile photo (required) and, if you choose to upload them, your CV and Emirates ID;
  • your consent to us storing your application and contacting you about event opportunities, and your agreement to our Crew Rules and Regulations.

Uploaded files are stored privately (they are not public web pages) and are checked for viruses. Our staff can see them. Clients see crew details only as described in section 3 ("Sharing crew profiles with clients").

We use your application to decide whether to add you to our crew. We do not send an email when you apply. If your application is accepted, we email you to welcome you.

3. If you work with us as crew

Once you are part of our crew, we also keep the information we need to offer you work, book you, brief you and pay you:

  • profile details you add, such as your home area or address, gender, documents, emergency contacts and answers to onboarding questions;
  • shift offers, bookings, confirmations and job-board applications, and messages in job chats;
  • attendance: check-in and check-out times and your device's location at those moments. We ask for your location once at check-in and once at check-out. We do not track you at other times;
  • timesheets, expenses and receipts, invoices and payment records, and your bank details so we can pay you;
  • contracts you sign, including your typed name, the time of signing and the IP address and browser used;
  • if you ask someone for a reference, that person's name and contact details and the answers they give;
  • your notification and email preferences and, if you turn notifications on, the details needed to send them to your browser or phone (see "Notifications" below).

Check-in photos. We do not use check-in photos. If that changes, we will update this policy first, including how long they are kept.

Notifications. If you turn on notifications in your browser, your browser gives us an address at its push service (for example Google for Chrome, Mozilla for Firefox or Apple for Safari). We use it to send you job and shift notifications through that service. In our Android app, notifications are delivered through Google Firebase Cloud Messaging. You can turn notifications off at any time in your browser or phone settings.

Sharing crew profiles with clients. We share a crew profile with a client only with the crew member's consent. The client sees your first name, photo, roles and languages.

4. If you are a member of our staff

Staff sign in to our staff tools with an account managed by Clerk (see section 6). We keep a log of actions taken in the staff tools, showing who did what and when, for security and accountability.

5. Emails we send

Our emails are sent from our own thecrewlab.ae mailbox. Depending on your relationship with us, these emails can be:

  • a welcome email when your crew application is accepted;
  • invitations to join our crew or our staff tools;
  • shift offers, booking confirmations, cancellations and reminders;
  • reference requests, if you ask someone to give you a reference;
  • news and job emails. Every one of these has an unsubscribe link. You can also change your email preferences in your profile.

Our sign-in provider, Clerk, may send you sign-in or verification codes by email when you sign in.

Cloudflare Turnstile, which protects our sign-in pages from bots, may process signals from your browser. Our crew portal and staff tools also store small items in your browser's local storage, for example which job-chat messages you have already seen. They also keep an offline copy of the app so it opens without signal. Our website stores your analytics cookie choice in your browser's local storage.

Your choice. On your first visit to our website we ask whether you accept analytics cookies. Google Analytics only loads if you accept. If you decline, no analytics cookies are set and nothing is sent to Google Analytics. You can change your choice at any time with the "Cookie settings" link at the bottom of every page.

You can block or delete cookies in your browser settings. If you block the sign-in cookies, you will not be able to sign in.

8. How long we keep data

  • Crew records: after 2 years (24 months) with no activity (or a different period we set), we delete a crew record and everything linked to it at our next clean-up, except the financial and contract records below. This covers the profile and contact details, files and photos, attendance and check-in records (times and locations, also in our staff action log), job-board applications and shift confirmations, bookings you declined or never worked (with no pay), booking holds, briefing confirmations, shift swaps, job chat messages, client enquiries about the crew member, and email and reminder logs. While the financial and contract records are kept, the crew record keeps only the person's name and basic profile details: crew ID, status, years of experience, the date they applied, that they gave the Join-form consent and when they accepted the Crew Rules.
  • Financial and contract records: worked bookings, timesheets (with the check-in and check-out times and the distance from the venue recorded on them), expenses (with receipts), pay lines and payments, invoices, pay adjustments, pay settings and signed contracts (with the typed name or drawn signature, the signed PDF and the signing details) are kept with the crew member's name for 7 years, also when a crew member deletes their account, and are then deleted at our next clean-up. The 7 years run from the latest date on the crew member's records: the latest payment, invoice, shift or contract signing date. Afterwards we keep only a short payment record (batch name, status, paid date and reference) and our staff action log, with the person's details removed.
  • How the clean-ups run: we run them ourselves, at least once a year, so data is deleted after the period above at our next clean-up. We do not delete a record while it is still needed to settle pay.
  • Applications that are not accepted: if your application to join our crew is not accepted (or is never decided), we keep it, including your CV, Emirates ID and photo, for 12 months, and then delete it at our next clean-up. A contract you signed is kept as a financial and contract record (7 years).
  • Emails to info@thecrewlab.ae, calls and WhatsApp messages: we keep enquiries for 24 months.

9. Deleting your crew account

Crew can delete their account at any time: in the app under Profile → Delete my account, or on the website at thecrewlab.ae/crew/account/delete (you confirm by typing DELETE). You can also email info@thecrewlab.ae.

When you delete your account:

  • We delete your sign-in account, your crew profile and documents, your CV, profile photo and Emirates ID, any check-in photos, your bank details, your date of birth, gender, home address and emergency contacts, your availability, your notification settings and push details, your communication preferences, your portfolio consent and any client portfolio or shortlist entries, and reference requests (including your referees' details and answers).
  • We remove your contact details (email address and phone number) from the records we keep (your crew record, timesheet and invoice copies, invites, and our email logs). Your name stays on your crew record, timesheets, invoices, pay lines and contracts for as long as they are kept.
  • We keep for 7 years, and then delete: your worked bookings, timesheets (with the check-in and check-out times and the distance from the venue recorded on them), expenses (with receipts), pay lines and payments, invoices, pay adjustments, your pay settings, and contracts you signed (with the name you typed or the signature you drew, the signed PDF and the time, IP address and browser recorded when you signed). The 7 years run from the latest date on your records: the latest payment, invoice, shift or contract signing date.
  • We keep for 2 years, and then delete: your check-in and check-out records (times and locations), the job chat messages you sent (with the name shown in the chat and any files you attached), your job-board applications for past shifts, your "I'm coming" shift confirmations, bookings you declined or never worked, client enquiries about you, our reminder send log, and the small records that go with your shifts: booking holds, briefing confirmations and shift swaps.
  • Our staff action log keeps who did what and when. The details about you are removed at the same clean-ups.
  • The 2 years count from the day you delete your account, or from a later shift date if you had one. The records are deleted at our next clean-up after their period ends (at least once a year), unless they are still needed to settle pay (see section 8).
  • Everything else linked to your account is deleted when you delete it.
  • Shifts you had accepted that have not started yet are cancelled, and our operations team is told.

10. Your choices and rights

You can ask us for a copy of your personal data, ask us to correct or delete it, or object to some uses of it. Email info@thecrewlab.ae and we will reply within 30 days. You can unsubscribe from news and job emails at any time with the link in each email.

11. Security

Our website and app use HTTPS. Uploaded files are stored privately. Access to staff tools is limited by role.

12. Age

Our crew must be 18 or over. Our website is not aimed at children.

13. Changes to this policy

We may update this page. The date at the top shows the latest version. We may also tell crew about important changes by email or in the app.
