Dubai's big venues run on tight schedules. At Dubai World Trade Centre (DWTC) and Dubai Exhibition Centre at Expo City Dubai, one show can be breaking down while the next is waiting at the gate. Hotel ballrooms turn from conference to gala in a few hours. The crew who make that happen rarely get noticed, but they decide whether doors open on time.
Here's how to plan event crew in Dubai so your build, show days and breakdown run smoothly.
Event crew in Dubai: three phases, three plans
Build
Build is about deliveries, structure, furniture, branding, AV and the final clean. It runs to the venue's loading slots and the organiser's build schedule. The crew you need depends on what your stand builder or production company already covers.
Show days
During the event, crew handle room turnarounds, replenishment, back-of-house support, technical assistance and the overnight reset between show days. This is often the phase planners under-staff.
Breakdown
Breakdown is not build in reverse. Everyone is tired, deadlines are firm and inventory has to be checked. It deserves its own brief, team lead and sign-off. Our article on the work after the applause explains why.
What makes Dubai venues different
Loading bays and time slots
Large venues allocate loading bay times. Missing a slot can push your whole build back. Crew should know the slot, the route to the hall and who holds the delivery paperwork.
Accreditation and site rules
Venues and organisers set rules on passes, workwear and protective equipment. Confirm early what crew need to carry and wear, and when passes are issued.
Two big exhibition venues
DWTC sits on Sheikh Zayed Road in the city centre, while Expo City Dubai is further south near Dubai South. Some shows now use both: our GITEX event staff guide shows how one show splits across the two venues. Plan crew call times and transport around the right venue, especially for early starts.
Hotel turnarounds
Ballroom events often have short access windows and strict noise rules. Event crew in Dubai who know how to work quietly and quickly around hotel teams are worth a lot.
Roles to plan for
General setup crew
Unloading, moving equipment, placing furniture, building simple structures, installing signage and cleaning down. See our setup and dismantling crew page for the full scope.
Stage and technical support
Stage crew in Dubai, including stagehands, AV assistants and backline support, work under your production team's direction. For show running, lighting and sound, our stage and production crew page covers the roles involved.
Crew leads
A crew lead takes direction from your production manager, briefs the team and keeps the plan moving. One lead per area works well on larger builds.
Drivers and transport coordination
Moving crew between hotels, warehouses and venues, especially for early calls or overnight resets. An event transport coordinator keeps it organised.
Planning tips for event crew in Dubai
Share drawings and a running order
Give crew leads floor plans, stand drawings and a timed build schedule in advance. Clear information means fewer questions and fewer mistakes.
Plan headcount by phase
Build and breakdown usually need more hands than show days. Plan separate headcounts for each phase rather than one number for the whole event.
Think about the heat
Loading bays and outdoor areas get hot, even in the cooler months. Plan water, shade and rotation for anyone working outside, especially during long open-air builds.
Agree the sign-off
Decide who signs off the build, the nightly reset and the final handover to the venue. A clear sign-off avoids disputes and missed items.
