VIP and backstage

VIP and backstage event crew in the UAE

We supply VIP hosts for senior guests and backstage crew for artists and speakers.

Stage lights shining across the wings from backstage

Our team helps coordinate the movements and access points behind VIP and backstage operations. We draw crew from our network of 1,000+ freelancers and cover all seven emirates, with Abu Dhabi and Dubai as our main focus. Our VIP and backstage crew guide covers the planning in more depth.

What VIP and backstage crew do

VIP arrival and guest movement support

VIP hosts meet senior guests at the drop-off and take them through a private entrance to a holding room or their seat. They know the timings and who is waiting at the other end. If a guest arrives early or late, they keep your team informed and adjust the route. When guests arrive by car, hosts work with your transport coordinators on drop-off times.

Backstage assistance for artists, speakers and production teams

Backstage crew look after green rooms, run errands, guide speakers to the stage on cue and keep the backstage corridor clear. They work to the stage manager's calls and keep talent where it needs to be. For speakers, that can mean a walk-through of the stage before doors open and a microphone check with the AV team.

Access and zone support around controlled event areas

Green rooms and backstage areas need someone at the door who checks passes and turns people away politely. Our crew handle that, working with the access-control team and your security lead. Where your event needs them, security guards can be part of the same plan.

Timings and discretion

VIP work depends on timings. Crew learn the run sheet and the names of the people they are looking after. They also know what to say when they cannot answer a question. Discretion is part of every briefing, which means no photos and no talk about guests outside the job. If you have further confidentiality requirements, tell us and we will add them. If your event needs it, our crew will also sign your own NDA.

How booking works

Enquiry

Email or call with the date and an outline of the VIP or backstage operation.

Brief

We ask for the run sheet, VIP arrival plan, protocol requirements, access zones and the contacts on your side. Some details can be shared closer to the day if they are confidential.

Crew matching

We choose crew for composure and the language needs of your guests, matched to whether the role is front-facing VIP hosting or backstage support.

Briefing on the day

Crew walk the routes before guests arrive and run through the timings and the escalation process with your team.

On-site supervision

A Crew Lab team leader manages the crew and stays in contact with your protocol lead or stage manager.

Staffing ratios as a starting point

Start here, then adjust for your guest list:

  • Assign a dedicated host to each senior guest or delegation that needs an escort, rather than sharing hosts between arrivals that may overlap.
  • Staff every door into a controlled zone for as long as the zone is in use.
  • Backstage crew should match the number of acts or speakers changing over at the same time, not the total on the programme.
  • Keep a floating crew member who can cover a break or deal with an unplanned arrival.

Planning for Abu Dhabi and Dubai venues

In Abu Dhabi, VIP work often comes with cultural programmes on Saadiyat and gala dinners in Corniche hotels. In Dubai, conference openings and speaker programmes at large exhibition centres need hosts who can move guests quickly through busy halls. Our Abu Dhabi and Dubai pages cover each city's venues. We also cover Al Ain and the other emirates.

Frequently asked questions

Yes. Confidentiality is part of every VIP briefing. Crew do not take photos or share details about guests. Sensitive details can be shared closer to the day.
