Event traffic management and vehicle flow
An event traffic plan connects approach routes, vehicle entry points, holding areas and exits. Tell us where guests arrive, where service vehicles enter and which routes must remain clear. Include vehicle types and arrival windows so the plan accounts for cars, coaches and production deliveries using the same site.
For an outdoor venue or a programme with several entrances, mark each access point on the site map. Identify where vehicles can wait without blocking the next arrival.
Event parking management and car-park coordination
Parking needs a clear allocation of space and an entry and exit sequence. Share the available car parks, access restrictions and any existing parking arrangements. We can discuss guest, staff, contractor and VIP parking zones against your event brief.
Tell us who manages the venue's parking so the scope can be agreed. If spaces are already allocated by the venue, include those rules rather than starting a second parking plan.
Drop-off zones, arrivals and departures
Arrival flow and departure flow need separate attention. A drop-off zone may need short stops at the start, while the end of the event brings guests waiting for their cars. Include both windows in the brief, along with any holding points and pick-up instructions.
If guests need guidance after leaving their vehicle, ask about ushers and guest assistants. For credential checks at vehicle gates, include your access-control requirements.

Keeping parking zones and passenger transfers in the same brief helps identify where a scheduled pick-up meets a busy car-park exit. The staffing and vehicle arrangements can then be confirmed separately.
