You can hire excellent people and still have a messy event if they don't know the plan. Knowing how to brief event staff is what turns a group of individuals into a team. Done well, it takes 20 to 30 minutes and pays for itself many times over.

In our article on planning the right event crew we touched on giving every role a clear brief. This guide goes deeper into how to brief event staff, with a practical structure you can reuse for ushers in Dubai and Abu Dhabi, event hostesses, setup crew, security and VIP teams at events across the UAE.

How to brief event staff: two parts to every good briefing

Effective briefings usually come in two stages:

  1. The written pre-brief, sent a few days before the event
  2. The live pre-shift briefing, delivered on site before doors open

The written pre-brief gives people time to absorb details. The live briefing confirms them, adds last-minute changes and builds confidence.

What to send in the written pre-brief

Knowing how to brief event staff starts days before the event, so keep the pre-brief to a few pages. People won't read a 30-page production manual, but they will read a clear two-page summary.

Event essentials

  • Event name, host and purpose
  • Date, venue and exact address, with a map pin
  • Call time and expected finish
  • Dress code or uniform details
  • Parking or public transport options

The guest journey

Describe what guests will do from arrival to departure. When staff understand the flow, they can anticipate problems instead of reacting to them.

Role-specific notes

Give each role its own short section: what they're responsible for, where they're posted and who they report to.

Key contacts

Name, role and phone number for the on-site lead and the client contact. Make it clear who staff should go to first.

The live pre-shift briefing: a template

Use this running order on site; it's the core of how to brief event staff well. It works for a team of ten or a team of a hundred, though larger teams benefit from splitting into role groups after the main briefing.

1. Welcome and roll call (2–3 minutes)

Confirm everyone is present, in the right uniform and has their accreditation. Note any gaps immediately so cover can be arranged.

2. Event overview (3–5 minutes)

Who's hosting, who's coming, how many guests, and what success looks like. If there are VIPs, explain how they'll be handled without sharing more personal detail than necessary.

3. Timeline (3–5 minutes)

Walk through the run of show: doors open, programme start, key moments such as speeches or performances, breaks, and close. Highlight the busiest periods.

4. Venue walk (5–10 minutes)

Where possible, walk the key areas: entrances, registration, main hall, VIP areas, toilets, prayer rooms, first aid and emergency exits. Seeing the space beats any floor plan.

5. Roles and posts (5 minutes)

Confirm who is posted where and when. Explain break rotations and who covers each post. Our guide to how many ushers per guest helps you set the posts first.

6. Communication (2–3 minutes)

  • Radio channels and call signs, if radios are in use
  • WhatsApp group rules, if used
  • How to report an issue, and who has authority to make decisions

7. Safety and escalation (3–5 minutes)

  • Location of first aid and how to request medical support
  • Evacuation routes and assembly points
  • What to do with lost children, lost property or a guest who becomes unwell
  • When to involve event security and access control staff

8. Standards and conduct (2 minutes)

Phones, eating and drinking on post, how to address guests, and photography rules. Keep this short and respectful.

9. Questions (2–3 minutes)

Always leave time. The question one person asks is usually the one three others were wondering about.

Keeping the team aligned during the event

Knowing how to brief event staff also means re-briefing. On longer events or multi-day shows at venues like ADNEC or DWTC:

  • Hold quick huddles at shift changes and before major programme moments.
  • Share changes immediately through the team lead, not via rumour.
  • Debrief at the end of each day on multi-day events. What worked, what didn't and what's changing tomorrow.

How to brief event staff: common mistakes to avoid

  • Briefing during doors open. If guests are already arriving, it's too late.
  • Information overload. Focus on what staff need to do their job, not every production detail.
  • Skipping the venue walk. Staff who haven't seen the space can't guide others through it.
  • No clear escalation route. Staff need to know exactly who to call, and when.

Quick
answers.

The questions planners ask us most about this topic.

Still have a question
How long should a pre-shift briefing be?

For most events, 20 to 30 minutes is enough. Complex events with multiple zones or VIP movements may need longer, or separate role briefings.

Who should deliver the briefing?

Ideally the team lead from your event staffing agency, with a short introduction from the client or event manager. Hearing directly from the client helps staff understand what matters.

Should we brief in English or Arabic?

Use the language the whole team understands best, usually English in the UAE, with key points repeated in other languages if needed.

What if staff arrive late to the briefing?

Have the team lead give a short catch-up before they take their post. No one should be on post without the essentials.
