GITEX season is one of the busiest stretches of the year for event staffing in Dubai, and booking GITEX event staff early is the best thing an exhibitor can do. For 2026, the show has a new shape. According to the organisers, The GITEX Summit opens on 7 December at Dubai World Trade Centre (DWTC), and the main GITEX Global Expo then runs from 8 to 11 December at Dubai Exhibition Centre (DEC), Expo City Dubai.
That move matters for anyone building a team. A new venue means new walking routes, new loading arrangements and new travel times for crew. If you're exhibiting, sponsoring or running a side event, here's how to plan GITEX event staff well before December.
Why GITEX event staff get booked early
Large technology shows pull in exhibitors, side events, hospitality functions and media activity across the city in the same week. That creates real competition for experienced hostesses, registration staff, setup crew and drivers. Teams that lock in their brief early tend to get:
- More choice of experienced, show-ready staff
- Time for proper product and brand briefings
- Confirmed uniforms and accreditation details
- Realistic travel and shift plans for a new venue
Leaving it to the final fortnight usually means compromises.
Step 1: Define the GITEX event staff roles your stand needs
Start with what visitors will do on your stand, then match roles to those moments. Experienced exhibition staff in Dubai will know most of these roles already.
Stand hostesses and greeters
Your front line. They welcome visitors, qualify interest, manage queues for demos and hand over to your technical team. Look for confident communicators who can learn a short product script and stay sharp across a long day.
Lead capture and badge scanning
If you're using lead-retrieval apps or badge scanners, assign dedicated people. Hostesses can do it, but on a busy stand it's often cleaner to separate greeting from data capture.
Registration support for side events
Hosting a stand-side talk, a client breakfast or an evening reception? You'll need registration staff with your guest list, badge process and a clear escalation route for walk-ins.
Setup and dismantling crew
Even if your stand builder handles the structure, you may need setup and dismantling crew for unpacking, merchandise, screens, furniture placement and the overnight reset. Dismantling is just as important. Our article on the work after the applause explains why close-down deserves its own plan.
Transport coordinators and drivers
Moving executives between hotels, DWTC on summit day and Expo City Dubai for the expo, plus evening events, takes coordination. An event transport coordinator who tracks pickups and timings can save your team a lot of stress.
Step 2: Plan for two venues: DWTC and Dubai Exhibition Centre
Because the Summit and the Expo are at different venues, think about:
- Day-one logistics. Will any of your team attend the Summit at DWTC while the stand is being finalised at Expo City Dubai?
- Travel time. Build realistic transfer times into the schedule, especially at peak traffic hours.
- Crew call times. Expo City Dubai is served by its own Metro station (Expo 2020), which can help crew get to the venue, but early call times may still need arranged transport.
- Accreditation. Check exactly what badges staff need and when they'll be issued.
Step 3: Brief like it's part of the product
At a technology show, visitors ask detailed questions. Your GITEX event staff don't need to be engineers, but they do need to:
- Describe what your company does in two sentences
- Know which products are on show and where demos happen
- Know who to hand over to, and how
- Understand what not to say, such as pricing or roadmap promises
- Know the lead-capture process inside out
Send a written briefing pack in advance (our exhibition booth staff checklist lists what to include), then run a live briefing on the stand before doors open on day one. Short refreshers each morning help keep messaging consistent.
Step 4: Build sensible shifts
Show days are long, and standing on a busy stand is tiring. For GITEX event staff, plan for:
- Staggered breaks so the stand is never short at peak times
- Rotation between high-energy roles (greeting) and calmer ones (lead capture)
- Morning and evening cover if you're hosting events after hours
- A stand supervisor who manages the team so your sales staff can focus on visitors
Step 5: Confirm the practical details
A simple checklist for your GITEX event staff before the show:
- [ ] Final headcount per day, per role
- [ ] Shift times, including build day and breakdown
- [ ] Uniform or dress code confirmed and fitted
- [ ] Briefing pack sent and acknowledged
- [ ] Accreditation and badge collection plan
- [ ] Transport plan for crew and guests
- [ ] On-site contact and escalation route
