You've invested in the stand, the screens and the giveaways. But for most visitors, the experience of your brand comes down to the person who greets them. Well-prepared exhibition booth staff turn footfall into conversations; underprepared staff turn it into missed opportunities.
Whether you're booking exhibition staff in Dubai for a show at Dubai World Trade Centre or Dubai Exhibition Centre at Expo City Dubai, or exhibiting at ADNEC in Abu Dhabi or Expo Centre Sharjah, the preparation is largely the same. Here's a checklist to work through before every show, whether you use your own team or book exhibition staff in Dubai through an agency.
Four weeks out: plan your exhibition staff in Dubai
Decide what the stand needs to achieve
Be specific. Is the goal lead generation, product demos, meetings with existing clients, or brand awareness? The answer changes who you need on the stand.
Map the stand roles
On a typical stand you might need:
- Greeters or stand hostesses at the edge of the stand to welcome and qualify visitors
- Lead-capture staff handling badge scanning and notes
- Demo assistants who manage queues and set up demonstrations
- Hospitality support for a meeting area or coffee point
- A stand supervisor who manages breaks, cover and escalation
Set headcount by peak, not average
Shows at DWTC and Expo City Dubai have predictable busy periods: opening hours, after keynotes and mid-afternoon. Plan enough people for those windows and use staggered breaks to cover the rest.
Three weeks out: build the briefing pack
A briefing pack is the single most useful thing you can give exhibition staff in Dubai. Keep it short and practical:
- [ ] Company overview in plain language (two or three sentences)
- [ ] Products or services on show, with one-line descriptions
- [ ] Three to five qualifying questions to ask visitors
- [ ] Who to hand over to for technical, sales or media enquiries
- [ ] What staff should not discuss (pricing, contracts, unreleased products)
- [ ] Stand layout with demo, meeting and storage areas marked
- [ ] Lead-capture process and any required fields
- [ ] Dress code, grooming standards and conduct expectations
- [ ] Daily schedule, including any talks or activations on the stand
If your audience is international, note which languages are most useful and flag any staff with those language skills.
Two weeks out: logistics
Uniforms
Confirm sizes, quantities and delivery. If you're providing branded shirts or jackets, have spares. Spills and long days happen.
Accreditation
Check the organiser's exhibitor badge process and deadlines. Staff without badges can't get in, and last-minute badge issues waste the first hour of the show. Our GITEX event staff guide covers a two-venue example.
Travel and call times
Venue access times for exhibition staff in Dubai are usually earlier than visitor opening hours. Dubai Exhibition Centre has its own Metro station (Expo 2020), but build-day calls often need arranged transport.
Shift plan
Write out who is on the stand, when, and in which role. Build in rotation between demanding front-line roles and calmer tasks.
One week out: equipment and handover
- [ ] Lead-capture app installed and tested on staff devices
- [ ] Brochures, samples and giveaways counted and labelled
- [ ] Storage plan for personal items, stock and valuables
- [ ] Contact list with names and numbers for the stand supervisor and your team
- [ ] Clear process for lost property, complaints and medical incidents
Show day: briefing your exhibition staff in Dubai
Run a briefing on the stand before doors open on day one. Walk the space, run a quick role-play of a visitor conversation, and confirm the plan for breaks. Then hold a five-minute huddle each morning to share what worked the day before and any changes.
During the show
- Keep phones away from the front of the stand
- Avoid clustering in groups that block the entrance
- Keep the stand tidy throughout the day, not just at opening
- Log leads properly. A great conversation with no follow-up record is a lost lead.
After the show: close-down and debrief
Plan your dismantle as carefully as your build. Assign setup and dismantling crew for packing, stock counts and returns, so your sales team isn't stuck packing boxes. Then debrief your stand team while it's fresh: what questions came up most, what slowed things down and what visitors responded to.
