As temperatures ease in the autumn, the UAE's outdoor event season opens up. Beach activations, desert dinners, open-air concerts, sporting events and festivals fill the calendar through the cooler months, from the Abu Dhabi Corniche to Dubai's beachfront.
Outdoor events bring a different set of staffing challenges. Even in the cooler season, strong sun, long build days and big temperature swings between afternoon and night all affect how your crew performs. Here's how to plan outdoor event staff in the UAE so your team stays safe, comfortable and effective.
Outdoor event staff in the UAE: know the rules on outdoor work
The UAE's Ministry of Human Resources and Emiratisation (MoHRE) runs a midday break policy every summer. In 2026, it ran from 15 June to 15 September, prohibiting work under direct sunlight and in open areas between 12:30pm and 3pm. Employers are also expected to provide shade, cooling, drinking water and first aid.
Even outside those dates, the principle is sound. Heat stress doesn't stop on 16 September, and responsible event teams plan outdoor work with the same care through October and beyond.
Plan setup around the sun
Shift heavy work to cooler hours
Where possible, schedule demanding work for your event setup and dismantling crew in early mornings, late afternoons and evenings. Many outdoor builds work best overnight or in the early hours.
Break long builds into phases
Rather than one long day in the sun, split the build into phases with rest periods. Fresh crew work faster and more safely.
Provide shade first
Put up crew shade structures and water stations before anything else. It sounds obvious, but it's often the last item on the plan.
Rotate tasks
Alternate crew between exposed tasks and shaded ones. A crew member who's been carrying staging in the sun should move to a shaded task next.

Plan outdoor event staff in the UAE for guest-facing posts
Ushers and access control
Entrance posts are often fully exposed. For event ushers and access control staff, plan for:
- Shaded posts or umbrellas wherever possible
- Shorter rotations at exposed posts
- Water carried or within easy reach
- Uniforms suited to the conditions: breathable fabrics, hats where appropriate
Queues
Guests in an outdoor queue get hot and frustrated quickly. Staff the queue to keep it moving, and consider shade, misting fans or water for guests if waits are likely.
Evening temperature drops
Desert and coastal evenings can cool significantly in winter. Staff who arrived in the afternoon heat may need an extra layer by late evening. Include this in the uniform plan.
Hydration and welfare
- Water available at every post, or a runner doing regular rounds
- Rest areas with shade and seating
- Electrolyte or hydration options for physically demanding roles
- First aid on site, with staff briefed on where it is
- Team leads trained to spot signs of heat stress and act on them
Rotations and relief for outdoor crews
Outdoor events can stretch over long days once you include setup, the event and dismantling. Plan:
- Separate build, event and dismantle crews for long events
- Break schedules that are actually followed, with cover so posts never go empty
- Extra relief staff on hotter days
- Realistic finish times, with transport arranged for late departures
Location-specific considerations
Beach and waterfront events
On Dubai beaches or the Abu Dhabi Corniche, sand makes moving equipment harder and slower. Allow extra time and crew for setup, and plan for wind.
Desert events
Access routes, vehicle movements and distances between areas add time. Make sure crew transport is arranged and that everyone knows the site layout.
Festivals and sporting events
Fan zones, race weekends and festivals on Yas Island or in Dubai bring long open-air days and big crowds, so outdoor event staff in the UAE need relief cover, shaded queues and clear exit routes. Our Abu Dhabi Grand Prix event staff guide has more.
Urban open-air venues
Parks, plazas and rooftops may have strict access times, noise rules or loading restrictions. Plan crew schedules around the venue's rules.
