This is a planning guide. If you would rather hand the shuttles, VIP cars and crew movements to a team on the ground, see our event transport coordination services in the UAE.
For many guests, your event starts the moment they leave their hotel and ends when they get back. If the shuttle is late, the pickup point is unclear or the VIP car is in the wrong place, that's the memory they carry into the room.
Events here often involve hotel clusters, airport arrivals and journeys between emirates, from Dubai hotels to ADNEC or Yas Island, so event transport coordination in the UAE deserves its own plan. Here's how to build one.
Why a transport plan needs a coordinator
Booking vehicles is only part of the job. Someone needs to:
- Track every pickup and drop-off in real time
- Keep drivers informed when timings change
- Manage guests at pickup points
- Re-route vehicles when traffic or schedules shift
- Communicate with the event team about late arrivals
Without a coordinator, those tasks fall on the event manager, usually at the worst possible moment. Dedicated event transport coordinators take that load off.
The three transport flows
A good transport plan treats these as separate flows.
1. Guest transport
Shuttles between hotels and the venue, airport transfers and, sometimes, transport between multiple venues. This is about volume, clear schedules and good signage at pickup points.
2. VIP transport
Dedicated cars for senior guests, speakers and performers. This is about precision, discretion and tight coordination with VIP hosts and backstage crew and security.
3. Crew and supplier transport
Moving staff, production crew and sometimes equipment, often at early call times or late finishes when public transport isn't convenient.
Each flow needs its own schedule, but they should all be visible to one coordinator.
Planning guest shuttles in Dubai and Abu Dhabi
Build the schedule from the run of show
Work backwards from doors open. When do guests need to arrive? How long is the journey at that time of day? How long does boarding take?
Account for UAE traffic patterns
Peak-hour journeys in and between cities, such as Sheikh Zayed Road between Dubai and Abu Dhabi, can take much longer than off-peak. Build in a buffer, especially for events starting in the early evening.
Choose clear pickup points
At each hotel, agree the exact pickup location with the hotel team. Put a host, coordinator or one of your event ushers there with signage and a guest list.
Plan the return
Departures are often more concentrated than arrivals. Decide whether to run a continuous loop or set departure times, and make sure guests know which.
Planning VIP movements
- Share a minute-by-minute movement plan with drivers, VIP hosts and security
- Assign a named driver to each VIP where possible
- Agree holding areas near the venue so cars can be called forward quickly
- Plan for schedule changes, with one person authorised to confirm them
Our VIP and backstage crew guide explains how transport and VIP hosts work together.
Planning crew transport
Crew often need to arrive hours before guests and leave long after them. Plan:
- Early call-time pickups from agreed meeting points
- Late-night returns after dismantling
- Transport for multi-venue events, such as shows that split across two venues on different days
The transport coordinator's toolkit
- A master schedule with every vehicle, driver, pickup and drop-off
- A contact list of drivers, hotel teams and event leads
- Radio or a dedicated messaging group for live updates
- Guest lists for each shuttle or car
- Signage for pickup points
- A contingency plan for breakdowns, delays and no-shows
Planning transport between emirates
Many events in the UAE involve travel between emirates, such as guests staying in Dubai attending an event in Abu Dhabi, or vice versa. For these:
- Allow realistic journey times and a buffer for traffic
- Consider fewer, well-timed departures rather than a loop
- Provide water and clear information on board
- Make sure drivers know the exact venue entrance, not just the venue name
Big weekends such as the Abu Dhabi Grand Prix put extra pressure on routes around Yas Island, so plan VIP transfers in Abu Dhabi with generous buffers.
